The Job

The Magazine Sales Administrator is responsible for supporting the sales team in achieving revenue targets and ensuring smooth operations within the magazine sales department. This role requires excellent organizational skills, attention to detail, and the ability to work in a fast-paced environment. The Magazine Sales Administrator manages customer accounts, coordinates sales activities, and provides administrative support to the sales team.

Key Responsibilities

  • Maintain and update customer database, ensuring accurate and up-to-date customer information.
  • Respond to customer inquiries, resolve complaints, and provide exceptional customer service.
  • Process customer orders, renewals, and cancellations in a timely manner.
  • Assist the sales team with generating leads, preparing sales materials, and conducting market research.
  • Prepare sales reports, performance analyses, and other sales-related documentation.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Prepare and distribute sales-related documents, such as contracts, invoices, and sales agreements.
  • Maintain and update the sales department’s database, ensuring accuracy and completeness.
  • Generate reports and extract relevant data from the database to support sales analysis.
  • Conduct regular data audits to identify and rectify any discrepancies or errors.
  • Coordinate with the finance department to ensure accurate billing and timely payment processing.
  • Assist in training and onboarding new sales team members, providing guidance and support.

You must possess

  • Proven experience in sales administration, customer service, or a similar role
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively
  • Strong attention to detail and accuracy, ensuring high-quality work
  • Proficiency in CRM software, database management systems, Google Workspace, and MS Office Suite
  • Exceptional communication and interpersonal skills
  • Ability to work independently and collaboratively in a team environment
  • Knowledge of the magazine publishing industry and its sales processes (ideally)
